My Role
As the UI/UX Designer, I was responsible for:
-Researching user needs and company workflows.
-Designing role-specific dashboards for HR, Team Leads (TLs), and Individual Contributors (ICs).
-Creating wireframes, prototypes, and final UI designs.
-Ensuring consistency in branding, colors, and typography.
-Prioritizing ease of navigation and user comfort across different portals.
Team
The project was executed by a compact three-member team:
-1 Designer (myself) – UI/UX design and user experience strategy.
-1 Frontend Developer – Interface implementation.
-1 Backend Developer – Server-side logic, data storage, and automation.
Problem Statement
Startups often face challenges in managing employees’ leaves, attendance, and tasks due to scattered processes and communication gaps. Existing HRM softwares were too complex and not adaptable to Aiotel’s specific needs. The company required a lightweight, customized solution to manage internal operations effectively.
Solution
Aiotel One provided a centralized platform for managing employee activities, designed with tailored functionalities to fit Aiotel’s internal structure. It offered three distinct portals—for HR, TLs, and ICs—each optimized for role-specific tasks and responsibilities.

-Role-Based Portals
HR Portal: Access to all employee data, approval of paid leaves, and oversight of tasks and projects.
Team Lead Portal: Assignment of tasks, monitoring team progress, approval of casual leaves.
Individual Contributor Portal: Submission of task updates, leave applications, and access to reports.
-Employee Data Collection & Management
Collection and secure storage of basic details, personal information, and bank details during employee sign-up.
Easy accessibility for HR and CEO to manage workforce data effectively.
-Leave Management System
Casual leaves approved by TLs and auto-notified to HR.
Paid leaves approved directly by HR for better policy control.
-Task & Project Tracking
ICs submitted daily task updates stored in the database.
Weekly automated reports generated for TLs to review and forward.
-Attendance & Work Hour Tracking
A real-time timer on the home screen enabled employees to monitor their attendance and working hours.
Integrated Out-of-Office (OOO) button for smooth absence tracking and automated updates.
-Automated Summaries & Notifications
End-of-week reports compiled and shared with TLs/HR.
Notifications for pending approvals and task updates.
Design Approach
-User-Centric UI – Dashboards tailored for HR, TLs, and ICs based on workflows.
-Consistency & Branding – Color palette and typography aligned with Aiotel’s identity.
-Minimal & Efficient Navigation – Reduced complexity, ensuring users could complete tasks in fewer clicks.
-Responsive Layouts – Optimized for both desktop and mobile access.
Final Outcome
The Aiotel One pilot successfully demonstrated how a customized HRM system could resolve operational inefficiencies. It improved transparency, reduced manual tracking, and automated reporting. The project established a scalable foundation for expanding into advanced HR functionalities like payroll, performance analytics, and third-party integrations in the future.
Aiotel One was a pilot HRM (Human Resource Management) software developed specifically for Aiotel Pvt. Ltd. The aim was to simplify employee data management, track attendance and leaves, monitor task progress, and streamline communication across teams. The solution was customized to the company’s internal workflows, ensuring relevance and efficiency compared to generic HRM tools.
